Our client is currently searching for a Head of Document Control to develop, manage and improve the Document Control Process and Team.
Clearance:
Due to the urgency of this position, it is advantageous that candidates hold MOD SC Clearance.
Key Accountabilities:
- Development, management and continual improvement of the document control process in accordance with Project Procedures; - Ensuring all document control processes are documented, communicated and delivered and that the process is subjected to periodic review and improved wherever possible; - Maintain an active awareness of new developments and application of best practice; - To establish key performance indicators and report each month; & - Ensuring the Document Control Centres continues to provide a valuable function.
Key Responsibilities:
- To ensure that responsibilities, with regard to the Company's Environment, Health, Safety, Security and Quality Standards, are understood and applied; - Resource management and recruitment for Document Control; - Management, support and development of the Document Control Team; - Communication with the Document Management Team regarding strategy and company matters; - Ensuring all document control procedures are reviewed on a regular basis and improvements implemented where possible, in line with RLI (Review, Learn & Improve) guidance; - Create audit check sheets and implement as required on document control; - Continual improvement of the document control process and related EDMS in accordance with Project Procedures; - Engaging and supporting Project Management in support of their management activities; & - Ensure document management is integrated with configuration management and the change control process.
Knowledge:
- Fully computer literate; - Broad understanding of document management methodologies and tools within an enterprise environment; - To understand the QA process applicable to document management; & - Legislation associated with records keeping (basic level).
Experience:
- Proven record of success in building and leading a team in Document Controls; - Must be fully versed in modern document management and project controls techniques within multi-disciplined organisation; & - Significant Document Management Controls experience on major engineering and / or construction project work (>£300m).
Skills:
- Able to identify the Document Management requirements, resolve anomalies, employ best practises, initiate the set up, communication links and access for relevant team members; - Excellent communication and presentation skills; - Able to follow through and complete activities; - Skilled at interfacing and operating in a large corporate environment; - Strong leadership and team management track record; - Vision, drive and energy; & - Results focused tempered with a team centred approach.
